Terms and Conditions for Invoice Payment Services

  1. Introduction
    These Terms and Conditions (“T&Cs”) govern the use of the online invoice payment service (“Payment Service”) provided by E Johnson & Associates Ltd (“we”, “us”, or “our”), an ACCA-registered accounting firm based in the United Kingdom. By making a payment through our online payment gateway, you (“you” or “the Client”) agree to these T&Cs.
  2. Payment Gateway Provider
    Payments are processed via a third-party payment gateway provider (“Payment Provider”), which is regulated by the Financial Conduct Authority (FCA) in the UK. The Payment Provider is responsible for securely processing your payment and ensuring compliance with relevant financial regulations.
  3. Invoice Payment
    3.1 Payment Options: You may settle invoices using the online payment link provided. Payment can be made via credit/debit card or bank transfer (where applicable), as facilitated by the Payment Provider.
    3.2 Invoice Due Date: Payments must be made by the due date specified on the invoice. Late payments may incur additional fees as outlined in the engagement letter or service agreement.
    3.3 Currency: All payments will be processed in GBP (£) unless otherwise stated on the invoice.
  4. Fees and Charges
    4.1 Processing Fees: Any fees associated with the use of the Payment Provider (e.g., credit card processing fees) are typically absorbed by us unless explicitly stated otherwise on the invoice or agreed upon in advance.
    4.2 Late Payment Fees: In the event of late payment, interest may be charged at the statutory rate of 8% above the Bank of England base rate, as permitted under the Late Payment of Commercial Debts (Interest) Act 1998.
  5. Refunds and Disputes
    5.1 Refund Policy: Refunds for payments made via the Payment Service are subject to our refund policy as detailed in the engagement letter or service agreement. Refunds will only be issued if there is an overpayment or a billing error.
    5.2 Dispute Resolution: If you believe there is an error with your invoice or payment, please contact us immediately at billing@eja.ltd . We will work with you to resolve any disputes as quickly as possible.
    5.3 Chargebacks: In the event of a chargeback or payment dispute initiated by you, we reserve the right to suspend services until the issue is resolved.
  6. Data Protection and Privacy
    6.1 Personal Data: We will process your personal data in accordance with our Privacy Policy, which complies with the UK General Data Protection Regulation (UK GDPR). Your payment information will be handled securely by the Payment Provider and will not be stored by us.
    6.2 Third-Party Data Sharing: By using the Payment Service, you consent to the sharing of your personal data with the Payment Provider for the purposes of processing your payment.
  7. Security and Fraud Prevention
    7.1 Payment Security: The Payment Provider uses industry-standard encryption and security measures to protect your payment information. We take all reasonable steps to ensure the secure processing of your payment.
    7.2 Fraud Prevention: We may conduct additional checks to prevent fraudulent activity. If we suspect a payment is fraudulent, we reserve the right to decline the payment and contact you for verification.
  8. Limitation of Liability
    8.1 No Liability for Payment Provider: We are not liable for any issues or losses arising from the use of the Payment Provider’s services, including but not limited to processing errors, delays, or security breaches.
    8.2 Exclusion of Liability: To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential damages resulting from the use of the Payment Service.
  9. Changes to These Terms and Conditions
    We reserve the right to update these T&Cs at any time. Changes will be communicated to clients via email or posted on our website. Your continued use of the Payment Service constitutes acceptance of the updated T&Cs.
  10. Governing Law and Jurisdiction
    These T&Cs are governed by and constructed in accordance with the laws of England and Wales. Any disputes arising from these T&Cs shall be subject to the exclusive jurisdiction of the courts of England and Wales.
